Who Needs to Renew SSM Registration Online, and When

Sole proprietorships and partnerships registered under the Registration of Businesses Act must renew their registration either annually or once every five years, depending on what was selected at initial registration. Sdn Bhd companies don’t “renew” in the same sense — instead, they file an Annual Return each year, which serves a similar compliance function.

This distinction trips up a lot of new Sdn Bhd directors. Renewing on EzBiz only applies to sole proprietorships and partnerships. A Sdn Bhd cannot renew its registration this way at all — there is no “renew” button for a private company. Instead, under Section 68 of the Companies Act 2016, every Sdn Bhd must lodge an Annual Return through MBRS (Malaysian Business Reporting System) within 30 days of its incorporation anniversary each year, and this filing must go through a licensed company secretary, not the business owner directly.

The two obligations look similar from the outside — both are annual, both are done online, both keep your registration “active” — but they run on different systems, different deadlines and different penalty structures. If you are a Sdn Bhd director searching for how to “renew” your company, what you actually need is your Annual Return filed on time by your company secretary, not an EzBiz login.

Step-by-Step: How to Renew SSM Registration Online

  1. Log in to the EzBiz portal using your MyBiz or MyIdentity credentials.
  2. Select your business registration from your dashboard.
  3. Choose the renewal option and confirm the renewal period (1 year or 5 years).
  4. Review your business details — make sure your registered address and business activity codes are still accurate.
  5. Make payment online via FPX or credit card.
  6. Download your renewed certificate once you’ve completed payment — this is usually instant.

What It Costs

Renewal fees are fixed by SSM and are lower than most people expect:

  • Personal name (sole proprietorship): RM30 per year
  • Trade name (partnership): RM60 per year
  • Each registered branch: RM5 per year, on top of the main fee

You can renew for a period of 1 to 5 years in a single transaction, prior to expiry or up to 12 months after your registration lapses. SSM occasionally revises these fees, so it is worth confirming the exact amount shown at checkout before you pay.

What Happens If You Miss the Deadline

A lapsed registration means SSM no longer authorises your business to operate under that name. You have a 12-month grace period after the expiry date to renew online before the registration is treated as fully expired.

The real exposure is larger than a simple late fee: under the Registration of Businesses Act 1956, continuing to operate a business without a valid registration is an offence that carries a fine of up to RM50,000, imprisonment of up to 2 years, or both. In practice SSM typically deals with lapsed renewals through a compound (an administrative fine) rather than prosecution, but the statutory maximum shows how seriously the law treats it. A lapsed registration can also block you from opening or maintaining a business bank account and from applying for licenses that require an active SSM status.

A Few Common Pitfalls

One thing business owners frequently overlook: your registered business address needs to match your current operating address. If it’s outdated, renewal notices from SSM may never reach you in the first place, and the lapse can go unnoticed until it becomes a problem.

If you’d rather not track renewal dates yourself, or you’re not sure whether your registration details are still accurate, our team can take care of the entire process for you.

Can't Log In to EzBiz or SSM4U? Common Fixes

Since 24 May 2026, EzBiz Online access moved under the SSM4U portal, and this single change is behind most of the login complaints we see. A few things to check before assuming your account is broken:

  • You are logging in at the right place. EzBiz itself no longer has a separate public login page — you now start at the SSM4U portal and access EzBiz from your SSM4U dashboard.
  • Your MyDigital ID or MyIdentity credentials are current. Most SSM4U login issues come from an expired or unverified digital identity, not the SSM system itself.
  • You are using an updated browser. The SSM4U portal has stricter security requirements than the old EzBiz login page and can behave unpredictably on outdated browsers.
  • Your session has not been affected by a recent SSM system migration. SSM has run several portal migrations in 2026; if your business profile does not appear after logging in, this is usually temporary and resolves after SSM syncs the record, though it can take a few working days.

If you have tried all of the above and still cannot access your registration to renew, our team can check the status of your registration directly and handle the renewal on your behalf.

Typically RM60 to RM100 depending on the renewal period and business type, though fees are revised periodically so it is worth checking the current rate on the portal.

You will need your MyBiz or MyIdentity credentials to log in and access your business registration.
If your registered business address is outdated and does not match your current operating address, renewal notices may never reach you, and the lapse can go unnoticed.
